Exporting payments for your accountant
A plain table with all payments, in the layout accountants know from Fresha (Payment transactions): one row per payment with payment date, payment no., sale date, sale no. (the invoice number), appointment reference, client, location, team member, transaction type (Sales, Deposit or Refund), payment method, payment amount, tip and currency. No title above it and no total row below it, so accounting software or Excel reads it straight away. Dates are day/month/year hour:minute:second in the salon's time zone, amounts are numbers; a refund is negative.
Where to find it
How it works
- Reports → By payment method (or another report on payments), pick the period and any filters, then Options → For your accountant (Excel) or For your accountant (CSV).
- The file holds exactly the payments shown in the report.
- The regular Excel (.xlsx) and CSV remain: those follow the columns and grouping on screen, with a header and a total.
Good to know
- Team members need the permission “Reporting”. The owner sets this under Settings → Team → Roles and permissions.
If something doesn't work
The sale no. is empty for a payment.
The sale no. is the invoice number. A deposit for an appointment that has not been checked out yet has no invoice; after checkout the number appears.
