Deposits
Deposits paid later: online or by bank transfer, with due date and status
Where to find it
Where to find itSidebar → Money → Deposits
How it works
- These are the appointments whose deposit is paid later: online, or because the client pays by bank transfer.
- Per appointment you see the client, the service, when, the amount, the due date, how the client pays (with the reference for a transfer), when it was booked and its status: Awaiting payment, Bank transfer chosen, Overdue, Received or Cancelled.
- Filter on Open, Due soon, Overdue, Received or Cancelled.
- Per appointment: choose how it came in and tap Received (the appointment is confirmed and the emails stop), Send reminder or Resend bank details, Extend deadline (+1 to +7 days), Confirm without deposit, or Cancel (the client gets an email).
- Emailing or calling the client is one tap, and Client record and history shows their appointments and payments.
- Needs the Manage payments permission.
Good to know
- Team members need the permission “Manage payments”. The owner sets this under Settings → Team → Roles and permissions.

- Credit when a client cancelsWhen a client cancels in time themselves, they choose what happens to the deposit: Keep it as credit for my next appointment, or Ask the salon for a refund. At the next booking the credit comes off the deposit automatically, as a whole; if it's more than the deposit, the rest counts as already paid at checkout. Credit isn't new revenue: the finance summary and the day close don't count it twice, because the deposit already counted on the day it came in.
- CheckoutChecking out an appointment or a separate sale: the cart, discount, a gift card or loyalty card, and the payment method (card, cash, transfer, QR code, or split). An invoice is made.
- Paying with a QR code at the counterThe client scans a QR code with their own phone and pays online, with your own payment provider (Stripe or Sentoo). It can also be shown on your own phone.
- Connecting a payment providerConnecting your own account with a payment provider so clients can pay online. Which one depends on the country: Stripe in most countries, Sentoo on Aruba, Curaçao, Bonaire and Sint Maarten, PayTabs in the Gulf states, Egypt and Morocco, Paystack in four African countries, Mopé in Suriname.
